This document defines how KJC Production and its internal platform, AURORE OS, collect, store, manage, and use actor information for casting, production, and collaboration purposes.

This agreement is intended to protect both the actor and the production company by establishing transparent rules regarding personal data, media assets, communication, and project-related usage.

1. Parties

This agreement is between:
KJC Production ("the Production Company")
and
The individual actor, performer, or crew submitting personal information, media, or professional material through AURORE OS ("the Actor").

2. Purpose of Data Collection

The Actor authorizes the Production Company to collect and use submitted information exclusively for professional production-related activities, including:

• Casting evaluation
• Talent selection and project matching
• Internal production organization
• Communication regarding projects, auditions, or collaborations
• Scheduling and availability management
• Character assignment and production planning
• Secure archival and historical production records

The Production Company agrees not to sell personal data to third parties.

3. Information That May Be Collected

The following information may be stored inside AURORE OS:

• Full name
• Age or age range
• Gender identity (optional)
• Languages spoken
• Email address
• Phone number
• Location or city
• Physical characteristics relevant to casting (height, hair color, eye color, facial hair)
• Availability information
• Professional notes
• Casting tags and categories
• Photos, headshots, profile images
• Demo reels and showreels
• Audition material
• Project participation history
• Communication history related to productions

The Actor confirms that the information submitted is voluntarily provided.

4. Media & Uploaded Content

Any uploaded media, including photos, videos, self-tapes, or showreels, remain the intellectual property of the Actor unless otherwise specified by a separate production contract.

By uploading media to AURORE OS, the Actor grants the Production Company a non-exclusive right to:

• View and internally distribute the material within the production team
• Use the material for casting review and project preparation
• Temporarily store the material on secure cloud infrastructure
• Share the material internally with approved crew members attached to a specific production

The Production Company may not publicly publish, commercially redistribute, or externally license uploaded materials without additional explicit permission from the Actor.

5. Internal Access & Team Visibility

AURORE OS contains role-based access management. Actor information may only be accessed by:

• Authorized producers
• Casting directors
• Approved crew members assigned to a project
• Administrators managing the platform

Access is limited to information necessary for production operations. The Production Company agrees to take reasonable measures to prevent unauthorized access, misuse, or disclosure.

6. Email & Communication Processing

The platform may process emails or submissions sent voluntarily by Actors for casting purposes. This may include automatic extraction of:

• Contact information
• Showreel links
• Submitted notes
• Availability details

These submissions are used solely for casting and production workflow management.

7. Data Retention

Actor profiles and submitted materials may remain stored within AURORE OS for future casting opportunities unless deletion is requested. The Production Company may archive inactive profiles for organizational purposes. Actors may request:

• Access to their stored information
• Correction of inaccurate information
• Removal of their profile and associated media

Reasonable time will be taken to process such requests.

8. Data Deletion Requests

Actors may request deletion of their information by contacting the Production Company directly. Upon validated request, the Production Company will:

• Remove the Actor profile from active databases
• Delete associated uploaded media where reasonably possible
• Remove internal casting references not legally required for retention

Certain production records may be retained where legally necessary, contractually required, or needed for accounting and production documentation.

9. Security Measures

The Production Company implements reasonable technical and organizational measures to protect stored information, including:

• Restricted internal access
• Authenticated user accounts
• Cloud database protections
• Controlled document sharing
• Expiring share links for sensitive files when applicable

However, no digital platform can guarantee absolute security. By using AURORE OS, the Actor acknowledges the inherent risks associated with online data storage and transmission.

10. Third-Party Services

AURORE OS may rely on third-party infrastructure providers for hosting, storage, communication, or cloud services. These providers may process data only as necessary to operate the platform. The Production Company will make reasonable efforts to use reputable services with industry-standard protections.

11. Confidentiality

The Production Company agrees not to intentionally disclose private actor information outside legitimate production activities. Crew members granted access to AURORE OS are expected to maintain confidentiality regarding:

• Casting discussions
• Personal contact information
• Internal production notes
• Unreleased project materials

12. Consent

By submitting information, creating a profile, sending casting materials, or participating in productions managed through AURORE OS, the Actor acknowledges and agrees that:

• Their information may be stored and processed within AURORE OS
• Their materials may be reviewed internally for casting and production purposes
• Production staff may access relevant profile information
• The Production Company may contact them regarding opportunities or ongoing projects
• They understand their right to request modification or deletion of their information

13. Limitation of Liability

The Production Company will take reasonable precautions to secure stored information but cannot guarantee uninterrupted availability or absolute protection against cyber incidents, unauthorized access, or third-party attacks.

The Actor agrees that the Production Company shall not be held liable for indirect damages resulting from unforeseeable technical breaches beyond reasonable operational control.

14. Future Modifications

This policy may evolve as AURORE OS expands its features and infrastructure. Any significant modifications affecting the handling of personal data will be communicated where reasonably possible. Continued use of AURORE OS after updates constitutes acceptance of the revised policy.

16. Digital Agreement

By submitting information to AURORE OS, the Actor confirms that they have read and understood this policy and consent to the collection and use of their information as described above.
